In our experience with special touring engagements, people want pictures with the teacher, which may be a highlight for many of the participants and also a chance to have a personal connection and special moment with RB. There isn’t an additional fee for signings and it's completely up to you whether you'd like to include a signing in your event. For those interested in a signing, we have specific requests to be agreed upon before adding the signing to the contract. The signing requirements can be found here.
A NOTE FOR FIRST TIME SPONSORS
Hello! We’re so glad to hear you’re interested in hosting Rachel! When Rachel makes a first-ever appearance in a location, there’s usually a lot of interest. We encourage sponsors to plan for a large event to make the very most of the time and resources spent by both your team and ours.
As you likely already know, planning and preparation for a workshop event, large or small, is always a lot of work, and with a few more participants, a beautiful classroom, and a professional show venue, you can make a name for yourself, your location, your community, and support Rachel in her desire to deliver excellence every single time.
With this in mind, we’d like to touch on a few more topics to see if, after seeing all the details, this type of event is something that you’d feel excited about producing.
1. Event Size
Rachel’s classes across the US and Europe consistently have 50 to 80 participants, and have sold out within weeks (if not days). Depending on your location and Rachel’s tour schedule, it’s likely that a larger event would do very well.
To host an event that could accommodate this kind of interest would require larger facilities and a team of staff / volunteers to assist with all the needs that 40 - 60 people (or more) may have. Needless to say, if you were interested in a show, a performance venue would be necessary as well.
2. Fee Structure
Our fee structure includes a percentage split of the net between our team and yours, with our minimum fee. Historically, this minimum fee has been regularly surpassed during Rachel’s tour stops. We do not ask for a deposit, and the agreement is calculated in USD. Please note: If you’d feel more comfortable producing a smaller event, we are open to that, as long as our minimum fee is met.
3. Agreement Details
We’ll send you Rachel’s Sponsor Agreement after we’ve confirmed dates and decided to move forward with the event. Please let us know if you would like any of the agreement items adjusted to fit your event. We understand that you know the needs of your local community, and we are open to your suggestions, whenever possible. There are often questions and requests for clarification before the final agreement is signed.
4. Workshop Structure/Event Schedule
If you’d like any suggestions for workshop structure or strategy, don’t hesitate to ask. We’d be happy to share some of our experience as we’ve found a lot of success over the years and are continually striving to improve our process. If you already have a plan in place and don’t need suggestions, no problem! We’re available if you need us.
5. Next Steps
As always, we like to keep these conversations, and any plans we’re working on together, confidential until an agreement is in place and signed by both parties.
Once the terms for the contract, including the schedule of events, is agreed upon and signed by both teams, we’ll send you Rachel’s workshop descriptions and promotional materials (photos and bio). At this stage you’re welcome to announce that the event will be open for registration in the future if you’d like.
We’ll add the event to Rachel’s website and post to Facebook. If we get your timeline for announcements and registration (including links to the event) well in advance, we can time it with our posts to be sure it has as much impact as possible. We’re often navigating 8 Elements™ and Heart of Belly Dance registrations, so coordinating release times would be ideal. We’ve found that announcing registration dates at least one week in advance (if not more) builds a lot of interest and excitement for your event.
